Canceling a Reservation

Important Note:

If you wish to reschedule the scan you are canceling, you must first follow the instructions below to cancel the existing reservation.  Upon completion of the steps, you will need to create a new reservation by visiting the CCBBI scheduling calendar



To cancel a reservation made in the CCBBI scheduling calendar, please follow the steps outlined below. Funded and pilot projects should follow the same procedure for reservation cancellation. CCBBI reserves the right to bill reservations not canceled in accordance with this procedure. All scheduling actions fall under the policies as defined in the Appendix V- Scheduling.pdf policy document, please refer to this document for additional information.

Cancellation Steps for Web-based Outlook Users:

1.      Go to the CCBBI calendar (“+ASC-PSY Center for Cognitive and Behavioral Brain Imaging”) and double-click the reservation for which you wish to request a cancellation.

2.      In the body of the reservation, add the comment: “Please cancel this reservation.”

3.      IMPORTANT:  Under the “People” field (to the right of event details), click “Add People” and ADD hardesty.10@osu.edu to send your cancellation request to the CCBBI staff.

  • You can also add members from your research team to inform them of the cancellation request, and/or yourself to follow the progress of your request directly.
  • NOTE: This step does not complete the cancellation request. 

4.      Click “SEND” on the top left corner to send the request, save the event and close.

Cancellation Steps for Desktop-based Outlook Users:

1.      Go to the CCBBI calendar (“+ASC-PSY Center for Cognitive and Behavioral Brain Imaging”) and double-click the reservation for which you wish to request a cancellation.

2.      In the body of the reservation, add the comment: “Please cancel this reservation.”

3.      IMPORTANT: Select the “Invite Attendees” icon (on the top tool bar), which will add a “To” field to the reservation.  In the “To” field ADD hardesty.10@osu.edu to send your cancellation request to the CCBBI staff.

  • NOTE: If the “Invite Attendees” icon does not appear on your tool bar, go back to the calendar view and right click on your reservation. From the drop-down menu select “invite attendees.” This will re-open the reservation and add the “To” line field.
  • You can also add members from your research team to inform them of the cancellation request, and/or yourself to follow the progress of your request directly.
  • NOTE: This step does not complete the cancellation request.

4.      Click “SEND” on the top left corner to send the request, save the event and close.


Important Notes:  

  • A CCBBI staff member will follow up with your cancellation request within 1 business day.
  • The reservation is not officially canceled until you receive an email confirmation of the cancellation from the CCBBI Staff.   
  • Once your reservation has been canceled, it will no longer appear in the CCBBI scheduling calendar. Please monitor the calendar to confirm the reservation has been removed.
  • All people listed on the reservation will also receive an email response confirming the cancellation.
